Pomio CRM separates administration from sales work: the organisation admin manages users, roles and settings, while sales reps, sales managers and viewers work in the pipeline within their own, team or organisation scope.
Why one administrator is not enough
When only one person can invite users, reset a password or change a role, the CRM stops the moment that person is ill, on holiday or leaving. A new colleague cannot start, a locked-out salesperson cannot work, and nobody can suspend the account of someone who left on bad terms. A second administrator removes that single point of failure. Pick a backup who is actually around on working days and knows the settings, not a name on paper.
Why five administrators is too many
The opposite problem is more common: administrator rights are handed out because it is quicker than explaining a role. Every administrator can see and change more than their work needs, and every extra admin account is one more login an attacker would love to take over. When many people can change stages, fields or categories, the pipeline also drifts, because nobody owns the setup. For a team of five to fifty users, two administrators is usually right; a third makes sense only for a separate location or a second working language.
Administrator is a role, not a seniority level
The director does not need administrator rights to see the numbers, and the best salesperson does not need them to sell. Give managers a sales manager role with team or organisation scope for reports and targets, and keep administrator rights for the people who maintain users and settings. See how own, team and tenant scope work for the difference between what someone may do and how far that reaches.
Protect the administrator accounts first
An administrator account is the most valuable login in the CRM, so it gets the strictest rules. Each administrator has their own login, never a shared admin account, and uses multi-factor authentication with an authenticator app; see whether a CRM needs MFA. When an administrator leaves, hand the role over before their last day and suspend the account on time, as described in suspending a CRM user on their last working day.
Write down what administrators decide
Agree which changes administrators make on their own, such as inviting users or resetting a password, and which need a short agreement with sales, such as adding a pipeline stage or a required field. That keeps the setup stable and makes it clear who to ask. The audit log shows afterwards who changed what and when, which helps when a setting suddenly behaves differently.
How Pomio CRM supports a small administrator team
Pomio CRM has four roles: sales rep, sales manager, viewer and organisation admin, each with an own, team or organisation scope that is enforced on the server. An organisation admin invites users by email, activates and suspends them, changes roles, and resets passwords and multi-factor authentication without seeing the secret. Important actions are recorded in the audit log, without passwords or multi-factor secrets.
A practical checklist
Name one main administrator and one backup; give everyone else a sales role with the narrowest scope that fits; require multi-factor authentication for both administrators; never share an admin login; agree which setup changes need a short consultation; hand over the role before an administrator leaves; review the list of administrators every quarter.
Go deeper
Should the business owner be a CRM administrator?
Only if the owner actually maintains users and settings. Otherwise a sales manager role with organisation scope shows all results without the risk of changing the setup by accident.
Can an external partner be the CRM administrator?
Yes, if they have their own named login with multi-factor authentication and a clear agreement on what they change. Keep at least one administrator inside the business, so you never depend on an outside party to let a colleague in.
What if our only administrator has left?
Act the same day: have the vendor or the remaining account holder appoint a new administrator, suspend the old account and then add a backup, so it cannot happen again.
Does Pomio CRM limit the number of administrators?
Your organisation decides who gets the organisation admin role. Pomio CRM keeps that role separate from the sales roles and records important actions in the audit log.
